When you place an order, we collect your name, email address, telephone number, delivery and billing addresses, and details of the products you purchase.
We keep order and transaction records, including payment status, refunds and returns. Payments are processed through Stripe; we do not receive or store your full card number or card security code.
When you contact us, we collect the information you provide, such as your order number, questions and any photographs you send about a damaged or incorrect item.
Our website and payment providers may also process technical information, such as your IP address, browser and device information, to operate and secure the shop and process payments.
We use your personal information to process and fulfil your order, take payment, arrange delivery, send order-related messages and provide customer service.
We also use it to deal with enquiries, cancellations, returns, refunds, complaints and problems with an order.
We keep appropriate transaction and communication records to meet our legal, tax and accounting obligations, and we may use technical information to maintain the security of the shop and help prevent fraud. We use your information where necessary to perform our contract with you, comply with legal obligations, or pursue our legitimate interests in operating and protecting the shop.
We share relevant personal information with the service providers needed to operate the shop and fulfil your orders.
We use Togpod, built on the GoHighLevel platform, to run our online shop, manage orders and customer records, and send order-related messages. Stripe processes payments and handles payment security.
Our current Heritage Collection journals are dispatched by Ancient Wisdom Dropship. We provide the order and delivery details needed for fulfilment, including your name, delivery address and contact details where required. Delivery companies also receive the information needed to deliver your parcel.
Where necessary, we may share information with professional advisers or public authorities to meet legal obligations or establish, exercise or defend legal claims.
We keep personal information for as long as it is needed for the purpose for which it was collected.
Order, payment and refund records are retained for the periods required to meet our tax and accounting obligations. Relevant records may also be kept where necessary to handle an outstanding complaint, dispute or legal claim.
For enquiries and customer-service correspondence, we consider whether the enquiry has been resolved, whether it relates to an order we need to retain, and whether the information is still needed for any ongoing issue.
When personal information is no longer needed, we will securely delete it or anonymise it so that it no longer identifies you.
Depending on the circumstances, you have the right to request access to your personal information, ask us to correct inaccurate information, request deletion, or ask us to restrict how we use it. You may also have the right to receive information you have provided in a portable format.
You have the right to object to processing based on our legitimate interests. If we use your information for direct marketing, you can object at any time.
Where we rely on your consent, you can withdraw it at any time. This does not affect the lawfulness of processing carried out before you withdrew consent.
To exercise your rights, email [email protected]. We may need to verify your identity before responding.
You can also complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or by calling 0303 123 1113. You do not have to contact us first.
Some of our technology and payment providers process personal information outside the UK, including in the United States.
HighLevel and Stripe describe safeguards for international transfers in their published data protection terms. These include the UK Extension to the EU–US Data Privacy Framework for eligible transfers and contractual safeguards, such as Standard Contractual Clauses with the UK International Data Transfer Addendum, where applicable.
You can contact us at [email protected] to request further information about overseas processing and the safeguards relevant to your information.
We may update this privacy policy as our shop develops or our use of personal information changes. The latest version will be available on this page, with the date of the most recent update shown at the top. Where required, we will also notify you directly of significant changes.
